How do I upload my Revised or Final Camera Ready Manuscript?

Can I submit my final manuscript via email?

All final manuscripts must certified by PDF eXpress and must be submitted through EDAS prior to the deadline. If you are unable to do so, please see below questions for additional support. If your question is not answered below, please contact us.

I need to register more than 1 paper. EDAS is not permitting me to use my registration code again. How do I proceed?

Please ensure you have purchased an Additional Paper Fee with your registration. You may modify your registration at any time by following the steps below:

  1.  Navigate to the Registration Site 
  2. Click "Already Registered" Under the "Register Now" button
  3. Enter your:
    1. Email Address associated with your registration
    2. Registration Confirmation Number
  4. Click “Modify Registration”

You may now use the registration confirmation number for a 2nd paper.

I want to submit my final manuscript but I am receiving an error message.

Please see the EDAS Upload Errors section below for your solution. 

Do I have to pay for my registration before I can upload my final manuscript?

Yes. You must still register before the deadline to receive your registration confirmation number in order to upload your final manuscript. Your Registration Confirmation Number is the code you need to upload your paper. If you select Wire / Bank Transfer as your method of payment, payment is not required immediately, but you will be invoiced after completing your registration.  Please allow 1-2 business days for your Wire Transfer invoice to be manually issued by the Conference Staff. 

Please note: It is expected that all payment be fully received before the deadline. If you plan to register via Wire Transfer, please plan accordingly to ensure your payment is received before the deadline. If you require extra time to submit payment, please follow the steps below:

  1. Register fully selecting Bank Transfer as your method of payment
  2. Email the Conference Manager with your expected payment date. Extensions for payment only will be considered on a case by case basis. No late paper submissions due to registration delays will be permitted.

How do I certify my final manuscript through PDF Xpress? 

The Conference ID for FIE 2025 is 63693X. If you are having trouble with PDF Xpress, Access the Publications Support Center for IEEE PDF eXpress. If you do not find an answer in the Find Answers tab or if you are having trouble with EDAS, please contact kmanning@conferencecatalysts.com.

I received a withdrawal notice for my paper and I think it's a mistake

Papers without submitted manuscripts have been withdrawn. Duplicate submissions have also been withdrawn. Before contacting FIE 2025 Conference Management regarding your submission, please verify whether or not you have multiple submissions by navigating to My… > My Papers in EDAS

 

File Not Certified by PDF eXpress:

All Final Camera Ready Manuscripts must be certified by PDF eXpress and must be submitted through EDAS prior to the deadline. Please visit the Final Submission Instructions webpage for PDF eXpress instructions. The Conference ID for FIE 2025 is 63693X. If you are having trouble with PDF Xpress, Access the Publications Support Center for IEEE PDF eXpress if you do not find an answer in the Find Answers tab.

Missing Registration Code:

You must register for the conference before proceeding. Upon registering, you will receive a Registration Confirmation Number which you may provide in EDAS as your Registration Code. If your institution will be paying for your registration, you must still register using the online form in order to proceed with your final manuscript submission. There are no exceptions.

Only 1 Registration Code Permitted Per Paper:

Please contact the FIE 2025 Conference Manager with the following information:

  • EDAS paper ID
  • Registration Confirmation Number

Please ensure you have purchased an Additional Paper Fee with your registration. You may modify your registration at any time by following the steps below:

Missing eCopyright Form: 

You must complete the eCopyright form through EDAS before proceeding. There are no exceptions.

Fonts Not Embedded: 

To resolve this and successfully upload to EDAS, please follow one of the methods below to ensure all fonts are embedded in your PDF:

  • Option 1: Microsoft Word
    • Go to File > Save As
    • Choose PDF as the file type
    • Click "More options" or “Tools > Save Options”
    • Check the box that says “Embed fonts in the file”
    • Click OK, then Save
  • Option 2: LaTeX
    • Use the pdflatex compiler to generate your PDF
    • Run the command: pdffonts yourfile.pdf to check embedding
    • If needed, convert using Ghostscript:
      gs -dEmbedAllFonts=true -dPDFSETTINGS=/prepress -dNOPAUSE -dBATCH -sDEVICE=pdfwrite -sOutputFile=output.pdf input.pdf
  • Option 3: Adobe Acrobat Pro
    • Open your PDF in Acrobat
    • Go to File > Properties > Fonts
    • Make sure all fonts are marked "Embedded" or “Embedded Subset”
    • If not:
      Go to File > Print, select Adobe PDF
      In Printer Properties, check “Always embed fonts”
    • Save the new file

Once fonts are embedded, try re-uploading to EDAS. If you still receive an error or need help, please contact the FIE 2025 Conference Manager.

Author Information Detected during Double-Anonymous Review

For all review manuscripts, including Revised Manuscripts, FIE 2025 requires a double-anonymous review process. All author identifying information must be removed from the manuscript and PDF File. Here's some suggestions for removing author information from hard-to-find places:

  • Option 1: Adobe Acrobat Pro
    • Open the PDF in Adobe Acrobat
    • Go to File > Properties > Description
    • Clear the fields for Author, Title, Subject, and Keywords
    • Click OK and save the file
  • Option 2: PDF-XChange Editor (Free)
    • Open the PDF
    • Go to File > Document Properties
    • Delete any personal information fields
    • Save the file
  • Option 3: Online Tools
    • Use a free tool like sejda.com/metadata or pdfescape.com
    • Upload your PDF and remove metadata as needed
    • Download and re-check the file before uploading to EDAS

Before re-uploading, open your PDF and go to File > Properties > Description to confirm all personal information is removed.

Author Information Missing / Mismatch with Metadata for Final Camera Ready

Due to the FIE 2025 Double-Anonymous review process, your manuscript is missing identifying author data. Please ensure all author information is added for the Final Camera Ready version. Manuscripts missing author information may be rejected and cannot be corrected after the Final Camera Ready Deadline.

When is the Author Registration Deadline?

The Author registration deadline is July 28, 2025.

Do I have to pay by credit card online or can I be invoiced?

All registrations are paid for online however if this is not possible, please contact the FIE 2025 Conference Manager.

Can I pay in my local currency?

All payments must be made in USD to ensure that the full amount is received.

Can I get a receipt for my payment to attend the conference?

Receipts will be issued electronically via email and this will be the only form of receipt.

How can I receive an invitation letter to the conference for my VISA application?

A link to download your invitation letter will be provided in your Registration Confirmation email. An invitation letter will only be issued after you have registered and payment has been received. Registration is required to receive an invitation letter. Please reach out to the FIE 2025 Conference Manager if you require any edits to your issued invitation letter.
